you possibly could do that, but the problem comes into coding bills and accounting. If I get a fuel bill, for example, that bill will have fuel that went into 30 or 40 different vehicles or machines. And I have to separate that bill out into each one of those machines for my in house accounting. I have to match up receipts to the invoice to make sure there are no bogus charges. Typically you are talking to someone in their bill payment services group that couldn't give a rats ass how or when you pay and if you need something you should go online and find it.
But can't you just initially get the bill paid on time. Then do all the accounting, checking on correct usage by employees, no bogus charges. etc later. One solution I had with a company was they had all fueling done at the company site from their own tanks. No gas cards and all fueling done on site and under surveillance cameras. Or just occasional gas cards for longer distance work.

Right now my major problem bills are American Express, Valero (fuel), one large cement supplier (martin marietta), and about 3 different cities with their water bills. Every city I work in i have to rent a water meter. Then the city sends me a monthly bill. But I am lucky to get those bills before the due date. I have more than that, but those are the ones that seem to be happening the most frequently. And this is all happening at the same time as these bank fee charges becoming a problem. With interest rates as low as they are right now, the bank fees are no longer offset by large balances in the bank. So, every little transaction can end up being a fee. And I fucking hate fees. I will move heaven and earth to avoid a fee, a penalty, interest, you name it. So I am looking for every way possible to incorporate whatever this change is into something that is also less expensive. Banks charge one fee to process checks and a different fee to process ACH payments. Checks are a bit more expensive.

look, i can't re-invent the wheel with you here. my problem is simply getting a monthly payment to people faster than the mail and having that incorporate into my accounting system. i don't need any help with who my vendors are or how i get my products. I know the end result is going to be an online transaction. but some companies have their own form of online payment that you have to sign up and set up an account through them with banking information. some companies want you to use a credit card (which i will not do). some companies want a check over the phone, which is a big hassle but i have had to do it a few times. and then quick books wants too much money for their online bank draft system. so I am probably going to end up going through my bank and doing online payments for a while and see if there are any snags and develop a system of coordinating that with my accounting system.

Fair enough. Since others in your line of work face the same exact issues, maybe call and/or visit some of them to see how they handle their billing/ accounting issues. I've found even though almost all related companies are competitive in work related issues they are pretty cool about sharing things like billing/ accounting issues. May be worth a try with some related companies you are on good terms with.

I still pay the Duke Power bill by mail. The day after I get it, it's already back in the mail with a check in the envelope. The rest of the bills we handle online. The credit cards are handled by our credit unions' websites using their bill-pay utility, my wife and I use different CU's. It doesn't cost a thing, and the CC balances are paid fully on time. The other utilities we handle by each utility's on-line bill payer. We could pay by CC, but that always has a nasty charge, but the water company accepts debit card payments for free. The rest are handled by using my wife's CU checking account info, and we aren't charged for that, either, kind of like using the debit card. One initial fear was that we could have double charged taken from her account, but we keep an eagle-eye on that. Plus, both my wife and I have several months' worth bill charges (at least), so running out the balance should never happen. My wife is now retired and I'm in a good financial position, but still we keep a sharp eye on our balances and charges. Haven't had a missed payment in a lot of years now.

At least on your major vendors, can you not have them send their bills online with all the breakdowns on the charges included (just like you would see when their mailed bills arrived). You could do all your accounting, breakdowns per vehicle/ jobs, and everything else, send them the check so no late fees and when the mailed bill arrives- just make sure it matches the online version.
that is what i am having to do right now. and it sucks. its not a long term solution, which is what i am looking for. One of the bills I have to pay like this is American Express. Now you tell me how you would go about "calling them" and asking for anything. An American Express bill can have 30 or 40 entries on my side of the accounting.
Let me think about it. So not just fuel. So what kind of mailed bills are we talking about? Fuel, American Express, parts, tires. What else.
Right now my major problem bills are American Express, Valero (fuel), one large cement supplier (martin marietta), and about 3 different cities with their water bills. Every city I work in i have to rent a water meter. Then the city sends me a monthly bill. But I am lucky to get those bills before the due date. I have more than that, but those are the ones that seem to be happening the most frequently. And this is all happening at the same time as these bank fee charges becoming a problem. With interest rates as low as they are right now, the bank fees are no longer offset by large balances in the bank. So, every little transaction can end up being a fee. And I fucking hate fees. I will move heaven and earth to avoid a fee, a penalty, interest, you name it. So I am looking for every way possible to incorporate whatever this change is into something that is also less expensive. Banks charge one fee to process checks and a different fee to process ACH payments. Checks are a bit more expensive.
Jeez, what a mess. One at a time, I guess. suggestions and some questions. Valero (fuel)- gas cards I suppose. Like I said (depending on initial costs), you could get your own tanks (gas, diesel, tax free diesel). Each employee has to check out a card to fill up. Vendor delivers fuel certain times like weekly- bill paid on delivery. That's a monthly bill gone. What are the 30-40 American Express charges usually for? I know there are other issues but does Martin Marietta deliver their cement to each work site? If so, you could just have them deliver to your main office and have your employees haul them on site. They deliver, you pay. That's a monthly bill gone. And what's the deal with needing 3 cities water services and rented water meters? I don't know what that is for- concrete mixing?
Delivering the cement to your office is a great idea, then you have a bunch of Mexicans wheelbarrow it to your job sites.

Maybe he should just go to the Circle K and buy gallons of water and use that, then he eliminates the city water bills

Animal's thread just became real today. I ordered my first smart phone Saturday March 13th- delivery in 2 days-last Monday. "Undeliverable- damaged during shipping". Got the money back in my account last Wednesday and re-ordered the same day. Now it was delivery in 5 days. Shipped Thursday- delivery in 4 days. Tracking said at my USPS this morning. USPS guy or gal just blew through here and no delivery. WTF is going on?
